Managing Event Details

In the Details tab of the event record, manage the information entered when the event record was originally created, and set up additional options. The Details tab holds the following menu options:

  • General InfoClosedMnage the event code, name, availability dates, and more.

  • Chapter AccessClosed Clients using advanced chapter features can select which chapters to grant access to manage the event. Chapters with management access can also be permitted to sell the event.

  • Featured ListingClosedSetting a featured start and end date for an event causes that event to appear as “featured” in the Upcoming Events list.

  • Product SuggestionsClosed Configure which products are suggested at checkout.

  • Public DescriptionsClosedAllow staff to set up detailed descriptions that will appear for customers.
    • Short Description: Displays on Upcoming Events page, Event Details page (if no long description is provided), and on a registrant's Purchase Profile.
    • Long Description: Displays on the Event Details page.
    • Signature: Enabling initials, a signature, or a combination of the two will require event attendees to agree to the Signature HTML that you create as well as sign and/or initial their agreement.
    • Accommodation Description: Enter a paragraph detailing the accommodations available for registrants, which will appear on the Event Details page and on registrants' Purchase Profile.

  • Additional InfoClosed
    • Virtual: Set whether the event is virtual (that is, no badge setup necessary and no venue).
    • Limit Capacity: Indicate whether the event should have a maximum capacity. If enabled, the following field will appear:
    ° Capacity: The total number of registrations accepted.
    ° Waitlist Policy: Choose whether the system should continue to accept and waitlist registrations once the capacity is reached, and whether or not to charge customers who are added to the waitlist.
    • Allow Guests: Enable to allow registrants to bring a guest. If guests are allowed, the "Max Number of Guests" field will appear.
    • Auto Set Attendance: When tracking attendance, choose whether registrants should be marked as attended manually or automatically.
    • External URL: If using an external registration or event management system, enter the site that registrants should navigate to.
    • Tax code: For use with the Avalara integration.
    • PassKey Event ID: For use with the PassKey integration.
    • Organizer's Emails: Enter any email addresses (comma separated) that should receive a copy of system event emails.

  • Event DatesClosedManage the event start and end dates and times, as well as the time zone in which the event is taking place. If using an early, regular, and late pricing structure, enter the first date of each registration period. Saving these dates will cause the option to add an early, regular, or late price to appear under the Prices tab.

  • Badge TemplateClosed Customize how system-generated badges will be configured. To hide the badge in the registration process altogether, click the Hide Badge Preview check box.

  • Email TemplatesClosed Staff have the option to turn on and customize event confirmation, cancellation, and waitlist emails. The event confirmation email goes out in addition to the baseline product confirmation email, but with the top and bottom HTML created in this menu option.
    Staff can also enter a BCC Confirmation Email—whenever a templated email goes out to a customer, a BCC will also go out to the email address entered here.

  • Group Registration DetailsClosed Turn group registration on or off for this event from this form. If group registration is allowed, indicate for which customer type the pricing should be based: the organization under which the group is registering, or the individuals within the group.

  • CategoriesClosedStaff can categorize events by applying a category under this menu option. A category is simply a label that assists in the organization of many different records. Examples of event categories can include terms like "conference," "webinar," or "annual meeting."

  • CancellationsClosed Set whether registrants should have the ability to cancel their own registrations.

  • Change Logs (Beta)Closed A log of changes made to the Event's settings.
